Position Title: Administrative and Project Specialist Grade: 7
Division: Housing Improvements
Department: Administrative Support FLSA Status: Exempt
Reports to: Director of Housing Improvements EEO Class: 5 (Admin.Support)
Position Summary: The Administrative and Project Specialist will provide administrative support to the Director and Managers of the Housing Improvements Division. This position will require strong organization and analytical skills, resourcefulness, the ability to read and interpret financial reports, and an understanding of working with grant funded programs.
Principle Duties and Responsibilities:
- Provides administrative support for the Housing Improvements Division Managers and Director including: data entry; word processing & spreadsheets; scheduling & arrangements for training, travel and events; organizing documents & data; meeting minutes; and phones & email.
- Supports the department in obtaining and maintaining grants by understanding the terms of grants and assisting with grant applications, reports, closeouts, contracts, policy changes, and compliance.
- Acts as a liaison between the accounting department and program operations to enhance services and communications. Develops, maintains, analyzes, and interprets financial and program reports to provide information for planning, efficiencies, and compliance.
- Coordinates
Ø maintenance and purchases of department equipment
Ø maintenance and repairs of department facilities
Ø department facilities and parking leases
- Provides coverage at the reception desk to assist callers and visitors when needed.
- Attends relevant staff meetings and training seminars.
- Works with coworkers and volunteers to promote a positive, respectful, professional, and productive working environment, while protecting client confidentially and dignity.
- Within the context of the stated principle job duties, serve as ambassador of SNAP’s mission and values.
- Completes assigned projects and performs related duties as needed or situation dictates.
Education and Experience
· Required: Associate degree and three years full-time experience in grant, business, or project management, technical writing, budget analysis, or related field. Equivalent work experience may be considered.
· Preferred: Bachelor degree in Communications, Business or Environmental Studies and one year full time (or equivalent) experience in grant, business, or project management, technical writing, budget analysis or related field. Supervisory experience a plus.
Knowledge, Skills, and Abilities
· Excellent reading, writing and editing skills
· Ability to interpret and discuss budgets, grants and accounting practices with individuals, agencies, contractors and community resource providers, which involves terminology that may not be familiar to general public.
· Ability to understand and interpret complex program guidelines.
· Proficiency in computer operations including word processing, spreadsheets, internet, and databases. Ability to use and develop methods, procedures, or systems necessary for accurate statistical gathering and reporting.
· Familiarity with office equipment in order to assess and resolve problems.
· Strongly motivated with the ability to work independently, using initiative and good judgment to ensure work is appropriately addressed within time constraints.
· Knowledge of low-income programs, particularly housing issues.
· Strong communication and interpersonal skills, with emphasis on effectively working in a team environment and diverse population.
· Ability to maintain a sense of humor, compassion and patience.
· Solid organization, planning, and multi-tasking skills, with the ability to focus on priorities.
· Ability to empathize with and advocate for low-income and vulnerable people and to maintain confidentiality of personal and agency information.
Training and Certifications
· Valid drivers license, satisfactory driving record, personal vehicle and insurance for Agency business (mileage reimbursed)
Work Environment/Physical Activities:
Work is conducted in an office environment, in a central office location that can be highly stressful at times. Some lifting of office materials/deliveries may be required. May deal with difficult people, sometimes in crisis situations. Local travel during periods of inclement weather and occasional out of town travel to conferences and/or trainings may be necessary.
